Scheduling PMs by Organizational Unit

Preventive maintenance schedules can be configured to have the maintenance dates based on organizational units, such as departments or zones, so that all assets in that unit are scheduled at the same time. For example, a hospital manager may want all the equipment in the Cardiology department to inspected and maintained together. While this configuration is not standard for most companies, it is commonly used in particular industries, such as health care.

This feature can also be used to schedule maintenance based on an asset or classification, so that all PMs for the given asset or classification occur at the same time.

In organizational modules such as Department, Zone, and Customer, there is a PM tab that allows you to establish a common PM cycle. This is accomplished by setting the PM Cycle Start By attribute on desired assets, and then setting a PM Cycle Start Date to drive the next scheduled dates for all associated PMs.

Schedule all maintenance on assets sharing a common organizational unit for the same time:

  1. Access the organizational unit for which the maintenance will share a common Cycle Start Date.

  2. Click the PMs tab.

  3. Click the Assets sub-tab.

  4. Enter the date on which the next maintenance cycle should be scheduled in the Cycle Start Date field.

    Once you select the date, you must specify that this PM Cycle Start Method will be used on each affected asset. This designation can be made on each individual asset's PMs/Tasks tab or on the organizational unit's PMs tab. The PMs tab provides an expedient method to locate and change multiple assets from the same unit.

  5. Enter the appropriate organizational unit that should drive the Cycle Start Date for the asset in the PM Cycle Start By field.

    A blank value in this column indicates that the preventive maintenance schedule will be used to determine the date or that no PM Schedule is attached to this asset.

    In our example, the PM Cycle Start By field would need to be changed to DP for Department. The following codes represent the organizational unit IDs that can be entered in the PM Cycle Start By field:

    • AC: Account.

    • AS: Asset.

    • CL: Classification (Model).

    • CLP: Classification (Parent).

    • CU: Customer.

    • DP: Department.

    • PM: PM Settings.

    • RC: Repair Center.

    • SH: Shop.

    • ZN: Zone.

  6. Click the Save button next to the PM Cycle Start By field.

    The row refreshes and the row text is highlighted to show that it has changed. If an incorrect value/code is entered, a warning message displays.

  7. Repeat the above steps for all assets that should have their next scheduled maintenance based on the common date for the organizational unit.

    To view the impact this setting has on PMs associated with the designated asset, click the Asset Name to open the asset in a new window. Then click the PMs/Tasks tab to view the PMs and their calculated next scheduled dates.

    The PM Cycle Start By and PM Cycle Start Date fields can also be set dynamically in the PM Load Balancer. When this tool is used, PMs are often rescheduled to a PM Cycle By of AS (or asset) to quickly shift all PMs associated with the asset to a new date/cycle.
